Privacy policy

1. Two kinds of data

• Account data — about you and your team as users of Cling Works: name, work email, phone, sign-in records and billing details. For this we are the data fiduciary.
• Workspace data — what your business puts in: your customers' and suppliers' contacts, enquiries, quotes, orders and documents. Your business decides what goes in and why; we process it on your behalf and only to provide the service.

2. What we collect and why

• Account details, to create your account, sign you in securely and contact you about the service.
• Billing details, to charge for your plan and issue GST invoices. Card and bank details are handled by our payment gateway; we do not store card numbers.
• Usage and device information (pages used, errors, IP address), to keep the service secure, fix problems and understand which features help.
• Messages you connect (email, WhatsApp, IndiaMART), to bring enquiries into your inbox — only for channels your workspace connects.

3. AI reading of enquiries

If your workspace turns it on, enquiry text and attachments are sent to an AI model provider to extract line items and specifications. The provider processes the content only to return the result to us and does not use it to train its models. You can switch this off in Settings.

4. Who we share data with

We share personal data only with service providers who help us run Cling Works — cloud hosting in India, email and messaging delivery, payment processing and AI reading — under contracts that limit their use of it, and with authorities where the law requires. We do not sell personal data.

5. Where data is kept and for how long

Data is stored on servers in India, with encrypted daily backups. Account data is kept while your account is active and for up to 90 days after it closes. Workspace data is kept until your business deletes it or closes the workspace, plus 30 days to allow export, except records we must keep under tax or other laws (usually 8 years for invoices we issue to you).

6. Security

Each business's data is separated at the database level, connections are encrypted, passwords are hashed, sensitive credentials are encrypted at rest, and access by our staff is limited and logged. If a breach affecting your personal data happens, we will tell you and the Data Protection Board as the law requires.

7. Your rights

You can ask us to access, correct, complete or erase your personal data, withdraw consent where processing relies on it, and nominate someone to exercise these rights on your behalf. For workspace data about your own customers, please contact the business that uses Cling Works; we will help them respond.

8. Cookies

We use essential cookies to keep you signed in and to protect forms. We do not use advertising or cross-site tracking cookies.

9. Grievance officer

We acknowledge complaints within 24 hours and resolve them within 15 days. If you are not satisfied, you may approach the Data Protection Board of India.

10. Changes

We will post any change here and, for material changes, tell you by email or in the app before it takes effect.
